How to use Microsoft Teams for free

If you run your own business or are part of a workgroup within a larger company, chances are you need a place to communicate and collaborate with those inside and out. outside your organization. But you don’t need to pay for expensive collaboration tools like Office 365 or SharePoint, because Microsoft Teams is free.

With the free version of Microsoft Teams, you get unlimited chats, audio and video calls, and 10 GB of file storage for your entire team, plus 2 GB of personal storage for each individual. Microsoft Teams integrates with all Office online apps, as well as over 140 business apps. Add up to 299 people to your network of contacts, who can be inside or outside your organization.

Note that the free version of Microsoft Teams is only available to those who do not have a paid Office 365 commercial subscription. Office 365 subscribers who attempt to sign up for Teams are redirected to a managed account for their existing plan. Customers who don’t have a Teams license as part of an Office 365 subscription can sign up for a free one-year trial.

Set up Microsoft teams

To set up Team, you will need a Microsoft account. Navigate to Microsoft Teams Website and click on the Free registration button to start. Enter the username of the account you want to use and indicate how you want to use Teams: for school, for friends and family, or for work and organizations.

Type in your password and confirm your name, company name, and other relevant details. Then click on the Set up teams button. You are then asked if you want to use the Teams app or the web app. The Teams web app is fine for most of the basic functionality, but you’ll want to install the desktop app to take full advantage of the service.

If you did not download it during the initial setup, get it from the Download the teams website. You can also install the mobile version of Microsoft Teams (ios, Android), which offers many of the same features as the desktop app and will help you stay in touch with other people on the go. For the sake of simplicity, we’ll be working with the web application here.

On the welcome screen, confirm the name of your Teams organization and click To continue. On the main screen, you can choose from a variety of tasks, but your first step should be to invite other people to join your team.

Click it Invite people link in the left sidebar. You can then invite people through a shareable link, your own email contact list, or direct email. Choose your preferred option.

For this example, let’s go through email. You can invite others to join your team by entering their email addresses. Add a display name for each person in the right column. Click it Add more link if you need spaces for more addresses. Click on Send invitations and close the Invitations window.

The people you invite will receive an invitation notice by email and can join your team by clicking on the attached link. They’ll then be taken to Microsoft Teams, where they can also choose a display name and add a photo.

Team Discussion

The next task you might want to take on is start a conversation by welcoming everyone to your team. Tap the Teams icon on the left toolbar, then select the New Conversation icon at the bottom. Type your message. Any other member of the team can then reply to your message and start the conversation. You can enhance your posts by formatting text, attaching files, adding emoji or GIFs, etc.


To share a file with all of your team members, click on the paperclip To attach and select the file you want to share. Choose a file from your Microsoft Teams site, OneDrive, or your computer.

Integration with Microsoft Office means that Word, Excel, PowerPoint, and OneNote files can be viewed and edited directly from Teams. Team members will be able to edit the file in their browser through Office for the web or in the full version of the Office application, if it is installed on their computer.

Instead of talking to the whole team, you can chat privately with one person or a small group. To start, click on the To discuss icon in the left toolbar. Enter the name of the person (s) you want to talk to in the TO field at the top of the screen.

Type your message in the New message at the bottom and click Send. Existing chats are saved on the left side of the screen for easy access.

Teams has a built-in tool for audio and video calls. To use this feature, you must be working in Chrome, Edge, or the Windows Teams desktop app (Firefox is not supported). Start an audio or video meeting by clicking the button Meetings icon in the left toolbar. Choose whether you want to meet now or schedule a meeting.

Join the meeting

Before the meeting starts, you have the option to edit some details. You can add a topic to your meeting and decide to turn off video and / or audio. Click it Join now button to officially launch the meeting. You can then invite others to the call by copying a link to the meeting or sharing it via email.

In the meeting screen, you can control video and audio stream, broadcast to another screen, change other settings, and end the call. Click the ellipsis icon to view device settings, view meeting notes, and go full screen.

You can also change the meeting mode. The gallery shows the other person. The large gallery shows you and the other person. And Ensemble mode shows you all in a virtual environment such as an auditorium.

private call

You can also call someone directly by video or audio. Click it Calls icon in the left sidebar. In the Make a phone call field, enter the person’s name. Then click on the audio or video icon below depending on how you want to talk with that person. You can also add other people to your calling list by setting them up as contacts.

Integration of applications

Microsoft Teams integrates with third-party applications and services to extend its functionality. Click it applications at the bottom of the left toolbar. Select the app you want to install. On the configuration screen, choose your team, then click on the button To install button.

Teams can integrate with various Microsoft programs and third-party services like Trello and Asana project management apps, productivity apps like Evernote and SurveyMonkey, utilities like Polly and GitHub, and more.

Once an app has been integrated with Teams, you’ll have access to it directly from your Teams page. For example, if you install the YouTube app, a button will appear below the text box on your Teams page, allowing you to add content from the app to your conversations.
